Privacy Policy

Wasatch Baseball League ("WBL," "we," "us") runs youth baseball in Utah with our member leagues. This policy explains what information we collect through this website, the WBL app, and our emails and text messages, and how we use and protect it.

Last updated October 15, 2026

Who this covers

Most of the people in our programs are children. We take that seriously, and the Children's information section below covers it in detail. This policy covers:

  • Parents and guardians who register a player and manage a family account.
  • Coaches who register teams, manage rosters, and pay team fees.
  • League staff and volunteers, including registrars and board members.
  • Umpires, many of whom are teenagers.
  • Visitors to our website.

Information we collect

Family accounts. One account per family. A parent or guardian gives us their name, email, mobile phone number, and the household address. Kids never have accounts and cannot sign in. You sign in with a one-time email link or with Google. If you use Google, we receive your name and email from Google. Families do not use passwords.

Players. A parent or guardian gives us the player's name, date of birth, and grade, and where needed the school, a birth certificate or grade proof to verify age, an optional photo, optional medical notes, an emergency contact, and a uniform size.

Coaches. Name, email, phone, the teams you coach, and your acknowledgement of the background check requirement.

Umpires. Name, email, phone, certification level, and training quiz results.

Waivers. When you accept a waiver we store the waiver version and text, the name you typed, the date and time, and the internet (IP) address it came from. For some tournaments we also store a drawn signature.

Payments. Payments go through Stripe. Your card or bank details go straight to Stripe; we never see or store your full card or account number. We keep what we need to run your account: a Stripe reference, the card brand, the last four digits, the expiration date, and the amounts and dates of each payment and refund.

Game and league data. Schedules, scores, rosters, pitch counts, field status, reschedule requests, discipline and incident records, and forms you submit to us. Pitch counts for league games come from GameChanger.

Ask WBL. If you use the Ask WBL assistant, we keep your questions and its answers.

What we do not collect. We do not run advertising, tracking pixels, or analytics on our sites. This website stores only a few functional settings in your browser, such as light or dark theme and the last sport you viewed. The WBL app stores your sign-in session and a few screen preferences in your browser. We do not use advertising or tracking cookies.

How we use it

  • Register players and teams, verify ages, and place players in the right division.
  • Build schedules and run games, tournaments, and umpire assignments.
  • Take payments, run payment plans you sign up for, and issue refunds.
  • Send the emails you need: invites, receipts, payment reminders, schedule changes, and league notices.
  • Send text messages about game-day changes, only if you opted in.
  • Enforce league rules, including the pitch count and rest rules that protect players' arms.
  • Keep the platform secure, block spam sign-ups, and fix errors.

We do not sell personal information, and we do not use it for advertising.

Text messages (SMS)

If you check the box to receive text messages, we send recurring automated texts about game-day updates such as rainouts, field closures, and schedule changes. Message frequency varies. Msg & data rates may apply. Reply STOP to cancel, HELP for help. Consent is not a condition of registration, and you can turn texts off at any time.

Mobile Information and SMS Consent: No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as our SMS delivery provider, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Children's information

  • We collect a child's information only from their parent or guardian, who provides it on the child's behalf. Children do not create accounts and cannot sign in.
  • Birth certificates and grade proof are stored privately, visible only to league staff with registration access, and automatically deleted 6 months after they are verified (or 6 months after upload if never verified). Tournament documents are deleted 6 months after the tournament's end date.
  • Dates of birth are never public. Once league staff verify a date of birth, only a league administrator can change it, and every change is logged.
  • Player photos are private, visible only to the player's guardians and league staff with registration access, and used to confirm a player's identity on game day. We keep them until you ask us to delete them.
  • Medical notes are optional and visible only to the player's guardians and league staff with registration access.
  • We never put a child's information into analytics or advertising. Our public pages show only what the next section lists.
  • A parent or guardian can review or correct their child's information in their family account, and can ask us to delete it.

What is public

Some league information is public because that is how youth baseball works:

  • Schedules, scores, standings, and field status show teams, not individual players.
  • Team rosters on game and team pages show each player's shortened name (first name and last initial), jersey number, and for pitchers whether they are Available or Resting and the date a resting pitcher can pitch again. Rosters never show a full name, age, date of birth, photo, or contact details.
  • This website never shows how many pitches a player threw or when they last pitched. It shows the league's pitch and rest rules, a rest calculator, and each pitcher's Available or Resting status.
  • For tournaments whose rules give each pitcher a pitch limit across the event, the tournament page may show how many pitches a pitcher has left, with their shortened name and jersey number.
  • An older data feed built for our previous website still lists each pitcher's shortened name, jersey number, game dates, and pitches thrown. It is being retired as the new website launches.
  • Coach and staff contact details appear only where the league chose to publish them.

Who we share it with

Your league. Member league staff see information about players and teams in their league. WBL staff see what they need to run inter-league play and tournaments. Coaches see their own team's roster and what they need to run the team.

Service providers. Companies that run parts of the platform for us, limited to that job:

  • Supabase: database, sign-in, and file storage
  • Cloudflare: website hosting, and Turnstile, which checks that a sign-up or form comes from a person and not a bot
  • Stripe: payments
  • Resend: email delivery
  • Twilio: text messages
  • OneSignal: push alerts about incidents, which never name a person
  • Google: sign-in, if you choose it
  • Sentry: error reports, with email addresses, phone numbers, sign-in tokens, and form contents removed before they are sent
  • Anthropic: powers Ask WBL, receiving your question and the public or team-level information needed to answer it, never a player's date of birth or contact details
  • Tally: some league forms
  • Slack: internal staff messages, such as an Ask WBL question handed to a person
  • GameChanger: we read game pitch counts from it

The law. We may disclose information if the law requires it or to protect a child's safety.

We do not sell personal information to anyone.

Security

Information travels over encrypted connections (HTTPS). Access is limited by role, so staff see only their own league's data, and private files such as birth certificates open only through short-lived links. No system is perfectly secure, but if a breach exposes your information we will tell you promptly.

Your choices

  • See and fix your family's information in your family account, or ask us.
  • Email us to delete your account or your child's information. We will confirm who you are and respond within 30 days. We keep payment records and waivers for the time listed above, and game results stay part of league history.
  • Texts: reply STOP. Emails: account and payment emails are needed to run your registration; you can ask us to stop any others.

Mobile app

The WBL mobile app uses the same accounts and this same policy. If the app asks for something new, such as push notifications, it asks your permission first.

Changes to this policy

When we change this policy, we post the new version here and update the date at the top. If a change affects how we use information we already have, we email account holders first.
